Service Delivery Policy

Service Delivery Policy

This policy explains how Phics USA may review requirements, confirm service scope, communicate with customers, and deliver agreed professional digital services.

Effective Date: June 15, 2026

1. Introduction

This Service Delivery Policy explains the general process Phics USA intends to use when reviewing inquiries, confirming requirements, communicating with customers, and delivering approved professional digital services.

Submitting an inquiry does not create a customer relationship, authorize work, require payment, guarantee service availability, or obligate Phics USA to accept or deliver any service.

2. Business Status and Planned Services

Phics USA is being developed as a professional digital solutions business focused on three planned service areas: Website & Digital Solutions, Business Software Solutions, and Digital Marketing & Growth.

Phics USA is currently a proposed business initiative and is not representing that a registered Phics USA LLC already exists. References to future services, invoices, payments, delivery, or customer engagements describe the intended operating model and remain subject to legal formation and operational readiness.

3. Inquiry and Requirements Review

Prospective customers may contact Phics USA through the website contact form, email, or other approved communication channels.

Before services begin, we may review:

  • Business requirements
  • Project objectives
  • Requested service areas
  • Expected deliverables
  • Estimated timelines
  • Communication preferences
  • Relevant business information needed to understand the request

4. Proposal and Scope Confirmation

Where appropriate, Phics USA may provide a proposal, quotation, service outline, invoice, written communication, or other document describing the proposed service engagement.

This may include:

  • Scope of services
  • Expected deliverables
  • Estimated timelines
  • Applicable fees
  • Communication process
  • Customer responsibilities
  • Additional requirements or assumptions

No work is authorized merely by submitting an inquiry. An approved engagement would begin only after the applicable scope, responsibilities, pricing, payment terms, and other conditions have been confirmed and the required payment or deposit has been received, unless different written terms expressly apply.

5. Invoice and Payment Process

Once Phics USA is legally formed and operationally ready, approved paid engagements would generally follow an invoice-first process. The applicable service scope and pricing would be confirmed, an invoice would be issued, and the required payment or deposit would ordinarily need to be received before work begins.

Payment methods, deposits, milestone payments, recurring billing, due dates, taxes, currencies, third-party charges, cancellations, and refunds would depend on the applicable written engagement terms and published policies.

Failure to complete a required payment may prevent work from beginning or may result in delay, suspension, or termination of an engagement.

6. Service Delivery Methods

Delivery methods may vary according to the agreed service, customer location, digital platforms involved, access requirements, security considerations, timeline, and written scope.

Approved services may be delivered through one or more methods, including:

  • Email communication
  • Online meetings
  • Shared documents or project-management tools
  • Website, software, platform, or account-based work
  • Reports, recommendations, deliverables, or written documentation
  • Other mutually agreed communication or delivery methods

7. Delivery Timelines

Estimated timelines are provided in good faith based on available information, customer requirements, and current workload.

Actual delivery times may vary due to:

  • Changes in project requirements
  • Delays in receiving required information
  • Customer response times
  • Third-party dependencies
  • Vendor or platform delays
  • Platform, software, access, security, or operational circumstances outside our reasonable control

Phics USA does not guarantee fixed completion dates unless specifically agreed in writing.

8. Customer Responsibilities

Customers are responsible for providing accurate, complete, and timely information needed for service delivery.

Customer responsibilities may include:

  • Providing relevant business information
  • Responding to questions or clarification requests
  • Reviewing deliverables when requested
  • Supplying necessary documents, assets, or access details where appropriate
  • Communicating changes in requirements promptly
  • Ensuring submitted information is lawful and authorized for use
  • Providing lawful and authorized access to relevant websites, accounts, software, or digital platforms
  • Maintaining appropriate backups where changes to websites, software, accounts, or digital platforms may be involved
  • Maintaining valid licenses, subscriptions, permissions, and ownership rights for materials or platforms involved

Delays in providing required information may affect service timelines or delivery availability.

9. Revisions and Modifications

Reasonable revisions or adjustments may be provided where appropriate and consistent with the agreed service scope.

Requests that significantly change, expand, or exceed the original scope may require additional review, revised timelines, additional fees, or a separate service agreement.

10. Cancellations, Rescheduling, and Refunds

Because professional services may involve reserved time, customized planning, completed work, third-party costs, or delivered materials, cancellation, rescheduling, and refund eligibility may vary according to the engagement.

The applicable proposal, invoice, service agreement, written confirmation, and Refund & Cancellation Policy should be reviewed for the terms governing a specific engagement.

11. Third-Party Services and Vendors

Some services may involve third-party platforms, vendors, software providers, hosting providers, payment processors, technology providers, or external service providers.

Phics USA is not responsible for delays, outages, pricing changes, availability issues, performance problems, policy changes, or service limitations caused by third-party providers.

12. Communication During Service Delivery

Phics USA aims to maintain professional, clear, and timely communication during service engagements.

Response times may vary depending on project requirements, business hours, workload, communication channel, and the nature of the inquiry.

13. Suspension or Termination of Services

Phics USA reserves the right to pause, decline, suspend, or terminate services where appropriate.

This may occur if:

  • Required information is not provided
  • Payment obligations are not fulfilled
  • Requested activities violate applicable laws or policies
  • Client conduct is abusive, fraudulent, misleading, or inappropriate
  • Continuing the engagement is no longer practical or reasonable

14. No Guarantee of Specific Outcomes

Phics USA does not guarantee specific business outcomes, revenue, profits, search rankings, advertising performance, traffic, leads, conversions, software implementation outcomes, operational savings, or any other particular result.

Professional services would be delivered according to the agreed scope and available information. Outcomes may depend on customer decisions, cooperation, third-party platforms, software providers, market conditions, budgets, technical conditions, and other factors outside the direct control of Phics USA.

15. Separate Agreements

If a separate proposal, invoice, service agreement, statement of work, or written communication includes specific delivery terms, those terms may apply in addition to or instead of this general Service Delivery Policy.

16. Updates to This Policy

Phics USA may update this Service Delivery Policy from time to time. Any changes will be posted on this page with an updated effective date.
